Inspire Business School had the intake numbers. What they lacked was a system that could keep up with them. Their admissions-to-access journey involved staff manually reviewing applications, generating invoices in a separate system, matching payment confirmations by hand, and then logging into the LMS to create student accounts and enrol them one by one. Each stage depended on a human handoff. During peak intake periods, students routinely waited several days between paying their fees and receiving their course login. The finance team had no real-time view of outstanding balances. Admissions staff were consuming hours each day on tasks that required no judgement — only data entry and copy-paste. Application submitted - The prospective student applies through the IBS student portal. Their application enters the Axis admissions pipeline immediately — no manual data entry required.

Step 2

Review and offer issued - Admissions staff review the application within Axis and issue an offer. The system automatically sends the offer letter and a payment link email from the application record.

Step 3

Invoice generated automatically - On acceptance, Axis generates and issues the fee invoice based on the student's programme and intake fee plan. No manual invoice creation needed.

Step 4

Payment confirmed - The student pays online or uploads a bank transfer receipt. Axis registers the payment and triggers the next stage of the workflow automatically.

Step 5

Enrolment and LMS access provisioned - The automation engine enrols the student in their programme and term within Axis, then syncs to Kampus Wave. The student's LMS account is created and course access is live — without anyone logging into the LMS manually.

Step 6

Welcome notification sent - The student receives a confirmation with their access details. The journey from applicant to active learner is complete.
