Finance Reports

Finance Reports

Kampus SIS includes built-in finance reports that give your team visibility into collections, outstanding balances, scholarship disbursements, and discount usage. Reports are accessed from Finance → Reports and can be filtered, viewed on screen, and exported for external use.


Collections Report

The Collections Report shows all payments received within a selected date range. Use it for daily cash reconciliation, monthly revenue reporting, and auditing that all recorded receipts have been correctly allocated.

To run the Collections Report:

  1. Go to Finance → Reports → Collections.
  2. Set the Date Range for the report (received date of receipts).
  3. Optionally filter by:
    • Currency — View collections in a specific currency only.
    • Payment Method — Filter by Cash, Card, Bank Transfer, or Gateway.
    • Student — View collections for a specific student.
  4. Click Run Report.

The report displays a list of receipts matching your filters, showing the receipt number, student, payment method, currency, amount received, date, and the invoices the receipt was allocated to.

A summary row at the bottom of the report shows the total amount collected for the selected period, grouped by currency.


Outstanding Balances Report

The Outstanding Balances Report lists all invoices with a remaining balance greater than zero. Use it to identify overdue accounts, follow up with students, and assess total receivables at any point in time.

To run the Outstanding Balances Report:

  1. Go to Finance → Reports → Outstanding Balances.
  2. Optionally filter by:
    • Invoice Status — Include Issued invoices, Partially Paid invoices, or both.
    • Currency — Report on a specific currency.
    • Student — View the outstanding balance for a specific student.
    • Due Date Range — Filter invoices by their due date to identify what is overdue vs. upcoming.
  3. Click Run Report.

The report shows each invoice with a balance due, including the invoice number, student, issue date, due date, grand total, and current balance due. Invoices past their due date are highlighted.

A summary at the bottom shows total outstanding amounts grouped by currency.

Scenario: At the end of each month, the finance manager runs the Outstanding Balances Report filtered to Issued and Partially Paid invoices with a due date before today. This immediately shows all overdue accounts and their total outstanding amounts, which is used to prioritise the collections follow-up list.


Scholarships Report

The Scholarships Report summarises all award and scholarship adjustments applied to invoices within a selected period. Use it for reporting to funding bodies, reconciling scholarship disbursements, and auditing that award assignments were applied correctly.

To run the Scholarships Report:

  1. Go to Finance → Reports → Scholarships.
  2. Set the Date Range (adjustment applied date).
  3. Optionally filter by:
    • Award Type — Scholarship, Grant, Bursary, or Waiver.
    • Award Definition — Report on a specific award programme.
    • Academic Year — Filter by the academic year assigned to the award.
    • Student — View awards for a specific student.
  4. Click Run Report.

The report displays each scholarship or award adjustment, showing the award name, student, academic year, amount applied, the invoice it was applied to, and the date of application.

A summary shows the total disbursed per award definition and overall, grouped by currency.


Discount Usage Report

The Discount Usage Report shows how each discount code has been redeemed across all invoices. Use it to evaluate the effectiveness of promotional campaigns, monitor usage against limits, and identify codes that have been misused or over-applied.

To run the Discount Usage Report:

  1. Go to Finance → Reports → Discount Usage.
  2. Optionally filter by:
    • Discount Code — Report on a specific code.
    • Date Range — Filter redemptions by the date they were applied.
    • Status — Include active redemptions only, or include reversed redemptions as well.
  3. Click Run Report.

The report shows a summary per discount code (total redemptions, total discount value applied, usage against the limit) and a detail section listing individual redemption records (student, invoice, amount applied, date).


Exporting Report Data

All finance reports can be exported to CSV or XLSX for further analysis in external tools. To export a report:

  1. Run the report with your desired filters.
  2. Click the Export button above the report results.
  3. Select your preferred format (CSV or XLSX).
  4. Click Export. The file is prepared and a download link is sent to your email.

Note: Exporting reports requires the organisation.export permission in addition to the finance reports view permission.


Permissions

Finance reports are accessible to users with the appropriate view permissions. The following permissions control access to specific reports:

Permissions are assigned to roles under Settings → Users & Roles.
