Export Students
The student export tool generates a CSV file containing student records that match your selected filters and columns. Because exports can involve large numbers of records, the file is generated asynchronously and delivered to your email address when ready. You can also download it directly from the export history screen.
Export Students
- Go to Students in the main navigation.
- Click Export.
- Select the Columns you want included in the output. You can select all columns or choose a subset. See Available Columns below for the full list.
- Apply any Filters to narrow the export to a specific subset of students — for example, by status, program, intake, or date range. See Filters below.
- If your role allows access to personally identifiable information (PII), toggle Include PII on or off as required. See Personally Identifiable Information below.
- Click Export.
The export is queued and runs in the background. When the file is ready, it is sent to your registered email address as a downloadable link. You can also retrieve the file from Students → Export History at any time.
Note: The export respects all filter and column settings. If you apply no filters, all student records in the system are included up to the configured export row limit.
Available Columns
The following columns are available for export. Columns marked as PII contain personally identifiable information and may be excluded depending on your export settings and role permissions.

Filters
Use filters to limit the export to only the students you need. Leaving a filter blank includes all values for that field. The available filters are:
- Search — matches student number, first name, last name, or primary email (partial match).
- Status — filter by one or more student statuses. If no status is selected, all statuses are included.
- Program — filter to students assigned to a specific program.
- Intake — filter to students admitted under a specific intake.
- Date From / Date To — filter to students whose records were created within a date range.
Pro Tip: To export only the students created during a specific intake period, set Date From and Date To to match the intake's admission window, and combine with the Intake filter to be precise. This is useful for generating intake-specific reports.
Personally Identifiable Information
Some export columns contain personally identifiable information (PII) — specifically, the student's name, email, phone number, date of birth, and nationality. These columns are flagged as PII in the column list.
If your export settings or role restrict PII access, the PII columns are automatically removed from the output even if you selected them. The exported file will contain only non-PII columns. This behaviour is automatic and cannot be overridden by the user — it is governed by your organisation's data access configuration.
Important: Student exports may contain sensitive personal data. Handle exported files in accordance with your organisation's data protection and privacy policies. Do not share export files over unsecured channels or store them in unprotected locations.
